Welcome Class of 2027!

We cannot wait until Orientation to welcome you into the Vanderbilt University School of Medicine community. There are lots of things to know and do before you come to campus. The Class of 2027's Summer Reading book will be announced later this spring. We ask that you read this book before our required orientation begins mid-July 2023. VU VUNet ID and Email Activation

To access Vanderbilt online systems including Vanderbilt email, you must obtain your VUNet ID and password. If you are new to Vanderbilt University, you should receive an invitation to activate your VUNetID in early May 2023. The invitation will be sent to the email address you listed in your original application for admission.

If you are currently in the process of completing an undergraduate or graduate degree at Vanderbilt, or you’re already affiliated with Vanderbilt University in some other capacity, you will not receive this invitation; your VUNet ID and password will remain the same.

This will be your primary username and email and is the account that will be tied to your Commodore ID Card. All School of Medicine related communications will go to this email address after June 1st.

Health Insurance

In addition, now is a good time to check on your health coverage. You are required to have health insurance at all times. Unfortunately, the University plan coverage dates do not coincide with the Medical School start dates. The University plan is in effect from August 12, 2023, to August 11, 2024. If you need coverage prior to August 12, please complete the Early Medical Student Enrollment Application.

If you have other coverage, you may waive the Student Health Insurance Plan (SHIP) by completing the Student Health Insurance Waiver. This must be done between June 15 and August 15, 2023. Unfortunately the Office of Enrollment Services does not handle student health insurance, so please visit vanderbilt.myahpcare.com for assistance.

Change of Address

Any changes in your mailing address and telephone number should immediately be provided to AMCAS and the Office of Admissions, Vanderbilt University School of Medicine. This is particularly important during the summer months prior to registration and enrollment.

Vanderbilt Program in Interprofessional Learning (VPIL)

VPIL is an innovative, clinically program, and is an option for the first and second years of medical school. VPIL brings several healthcare professions together to learn aboutfrom, and with each other. VPIL students take an interprofessional approach to healthcare, considering social, behavioral, economic, and cultural factors to determine the best approach to health maintenance and disease management.

This is one of the only programs like it in the country and our students are on the cutting edge of the direction in which health care is headed. We have accepted 10-12 students per profession each year since its inception. More information and a brief introductory video can be found online at https://medschool.vanderbilt.edu/vpil.

Please complete the VPIL application for Vanderbilt medical students no later than 5pm on May 13, 2023. We will notify applicants of acceptance status in a timely manner on a rolling basis. Accepted students are required to attend VPIL Immersion prior to Orientation.

MSTP Commit to Enroll

This is the deadline for admitted MSTP students to indicate that they "Commit to Enroll" (CTE) at VUSM in the AAMC Choose Your Medical School tool. When a candidate indicates they "Commit to Enroll",  the candidate must have withdrawn from all waitlists and from any other acceptances. Failure to comply with this process by midnight Central Time on the stated date, may result in the rescission of the candidate's acceptance.

Immunization Requirements

Keep in mind that all incoming medical students must be in compliance with the state-mandated immunization requirements in order to proceed with enrollment.

Please note that you will not be able to submit your immunization record until you receive your VUNetID in early to mid-May. We encourage you to complete the paperwork and hold on to it until you can submit it in June. If you have any questions about the immunization record, please contact Student Health Services.

Big/Little Survey

An important part of Vanderbilt's thriving Wellness Program is the Big/Little pairings between VMS1s and VMS2s. The Vanderbilt student leaders have crafted a short survey to help new students get paired based on personality, hobbies, interests, etc. Please complete this survey by Sunday, June 11.

Register for Orientation

Please register for Orientation 2023 by Monday, June 5. Complete the Orientation 2023 registration form. Also, don't forget that once your degree has been conferred on your undergraduate transcript, please request that a digital copy be sent to mdadmissions@vanderbilt.edu.

MD Commit to Enroll

Waive Student Health Insurance Deadline

If you are interested in waiving the SHIP, it is important that you take action now. Waiver forms will not be accepted after August 15, 2023 and you will remain enrolled in SHIP and responsible for the premium. Because School of Medicine students begin their coursework in the summer, August 15 is the Final Deadline to submit your waiver form for the 2023-2024 academic year. Unfortunately the Office of Enrollment Services does not handle student health insurance, so please visit vanderbilt.myahpcare.com for assistance.

Sign Up for Direct Deposit

You are encouraged to sign up for Direct Deposit through your YES account. This ensures that any remaining credit balance in your student account after tuition and fees have been paid will be deposited directly to an account you designate. Otherwise you will receive a paper check at the address on file in your YES account. Signing up for direct deposit after this date will cause you to receive a paper check at the address on file in your YES account.

Transcripts Required for Matriculation (MD Students)

It is a university requirement that Vanderbilt has a complete record of your undergraduate and/or graduate preparation with degree(s) conferred prior to your matriculation to medical school. Please send all official final transcripts with degree awarded and date of graduation by July 1, 2023.

We kindly ask that you only submit digital copies of your transcripts since we are able to receive and process them more efficiently. These digital transcripts should be sent to us at mdadmissions@vanderbilt.edu.

Please note that transcripts sent to AMCAS during the application process do not fulfill this requirement.

If your institution is unable to comply with our July 1, 2023 deadline, then please obtain a letter from the registrar indicating that you have completed all requirements for graduation and will receive a final transcript when they are available at your university. Please note: digital copies of your transcripts sent via Secure Electronic Delivery (such as Parchment, National Student Clearinghouse, Parchment, etc.) will be accepted. We cannot accept emailed transcripts from you. If your institution is unable to provide a digital copy of your transcript, please email us at mdadmissions@vanderbilt.edu for accommodations.

Commodore ID Card

New students can pre-order their Commodore ID Card by submitting a photo online. Please submit your ID badge photo by the process listed below by Thuesday, July 6th. If you submit by this date, we’ll have your ID ready for you. Failure to meet this deadline will require you to visit the Card Office in Sarratt Student Center to have your photo taken and your Commodore ID Card produced.

Please upload a professional photo using the online portal – please read through the guidelines on acceptable photos.

REMEMBER – your photo will not only be on display on your Vanderbilt Commodore ID Card, but also in various systems such as professors’ seating charts and YES. Should you wish to change your photo later, there is a $25 charge for a replacement ID.

To upload your photo, login here using your VU VUNet ID and password. Select “Submit ID Photo” or on a smartphone select “ID Photo”. You can crop the photo on a smartphone by using one finger and dragging it diagonally to create a box, or by using a mouse if using a PC/Mac. Once you are happy with the photo, you can hit submit for approval.

Should you have any issues logging in, please reset your password here. If you have multiple VUNet IDs, please use the one connected to the University (VU) and not your VMC VUNet ID. If you have any questions, please contact commodorecard@vanderbilt.edu.

VUMC VUNet ID

Your VUMC ID is necessary to access clinical systems within the VUMC computing environment throughout your enrollment at VUSM. Because Vanderbilt University Medical Center (VUMC) is its own entity, employees and students have two different logins. Claiming your VUMC VUNet ID will not delete or override the VU VUNet ID that you have already set up. Please check your Vanderbilt email inbox for an email with the subject line "Invitation to Vanderbilt." You will need to complete this as soon as possible, and the email to activate to your VUMC VUNet ID is expected to be sent out no later than July 1st.

Register for Parking Permit

Parking Permit Info

If you wish to park a car/motorcycle on campus, then you MUST have a permit from University Parking Services.  With a permit, the closest authorized parking is at the 25th Avenue Garage, just a few short blocks from the School of Medicine.

  • If you plan on driving to campus for Orientation, then you must have purchased your permit beforehand. These are available to purchase beginning 7/1/23 (see the link below). This permit will allow you to park on campus in designated areas from 7/1/23 to the end of August, at a pro-rated rate of approximately $135.00 for the Summer Term. Beginning 9/1/23, yearly permits will be available to purchase for the next academic year.
  • Please complete your purchase before the first day of orientation to avoid a possible parking ticket.

Vanderbilt offers a daily parking program for full and part-time faculty, staff, postdocs and graduate and professional students.  Participants will pay to park only on days they drive a vehicle to campus and will have access to park in Terrace Place, Wesley Place, Sony and West garages.  Applications are accepted on a rolling basis, those received on Wednesdays by noon will have access to the daily parking garages by the end of the week.  Daily parking permit holders can earn sustainable commute incentives by logging weekday carpool, vanpool, walk, bike, bus, or train commutes. Vehicle ownership is not required for daily parking permits.  Learn more and apply here.

Move into Nashville Housing

Orientation is only days away! The best case scenario is to be moved in to your Nashville house or apartment by July 10, 2023. Remember that any changes in your mailing address and telephone number should immediately be provided to AMCAS and the Office of Admissions, Vanderbilt University School of Medicine. This is particularly important during the summer months prior to registration and enrollment.

Student Records Check In

The University Registrar requires that you manage your local address and telephone number through the online YES (Your Enrollment Services) system. Learn more basic information about YES.

 

Vanderbilt devotes considerable resources to assisting students in making intelligent choices regarding their own health and safety, as well as the health and safety of other students and the larger Vanderbilt community. Among these resources are online education programs designed to provide critical information about our community's expectations. All incoming graduate and professional students are required to complete the modules outlined below by the deadline listed in the email they receive from the Office of the Dean of Students and no later than July 13th. Please note that the email will be sent to students' Vanderbilt email address from automated-message@everfi.net.

Required Orientation Program

Complete VSTAR Course

You are required to complete an online orientation to the learning management system VSTAR. This is a required course and must be completed before you arrive at orientation. It will allow you to become familiar with the platform in which all of your courses will be delivered. Click here to access the course and sign in using your VU VUNet ID.

You are required to complete the following courses through the VUMC Learning Exchange prior to Orientation:

E-Bills Available for Viewing

On August 1, 2023, your electronic bill will be available for viewing in the YES student portal.

Tuition and Fees Due

August 30, 2023 will be the due date for the first installment of tuition and fees.
