Clinical Shadowing & Observational Experience
Trainees interested in clinical shadowing must complete the appropriate Vanderbilt Observational Experience (VOE) requirements before beginning their observational experience.

Select “Application Process” from the VOE website to begin.
- Trainees with a VUMC ID and VUMC email address should complete the application for individuals working at Vanderbilt.
- Trainees without a VUMC ID and VUMC email address should complete the application for individuals not working at Vanderbilt.
- The VOE process includes a background check ($36.25). APMM trainees may request reimbursement after completing the background check and submitting their receipt.
- Background checks typically take 24–48 hours to clear.
Operating Room (OR) Training
If your shadowing experience includes time in the operating room, you must also complete a one-hour OR training session before shadowing. Training is offered every other Friday from 7:00–8:00 a.m. Additional information will be provided through the VOE process.
HIPAA Training
Trainees must also complete the required HIPAA training and attestation before beginning clinical shadowing.

Background Check Reimbursement Instructions
Volunteer Opportunities – Caring Hands Crew
Support patients and families at Monroe Carell Jr. Children’s Hospital by volunteering with a Caring Hands Crew. Groups of up to 10 trainees can help with projects such as preparing materials for therapeutic play, sorting donations, and organizing patient activities. Volunteers must be age 16 or older. Hospital shifts are available Wednesdays and Thursdays from 12:30–1:30 p.m., with additional off-site warehouse shifts on the second Wednesday of each month from 3:00–5:00 p.m. Caring Hands Crew Info + Sign up
