The Assistant Director, working closely with the MSTP Leadership team, will play a key role in the recruitment and admission of a highly talented pool of MD-PhD trainees. Responsible for the general oversight, management, and direction of the recruitment, admissions, and interview process. Plan, oversee, and evaluate the activities of the admissions and evaluation process. Evaluate and resolve prospective student or applicant inquiries, concerns, and problems, and ensure appropriate action is taken to the satisfaction of the student, institution, or regulatory agencies in compliance with policies, procedures and legal requirements. The Assistant Director also will be responsible for assisting the MSTP Associate Director-Graduate Education in monitoring student progress and development of curricula and workshops relevant to the graduate phase of training.

 

Principal Responsibilities:

Recruiting and Admissions

  • Direct marketing and outreach for the MSTP to optimize quality of incoming class
  • Organizing applications, creating and reviewing admissions files, helping make admissions decisions, and communicating decisions to applicants and students
  • Organizing and holding orientations, chat discussions, graduate fairs, and open houses for new students
  • Attending recruiting activities
  • Planning enrollment changes in the program to coincide with graduate course scheduling, space allocation, and instructional coverage
  • Updating the program website, the student handbook, graduate catalogue brochures and other marketing materials
  • Primary point of contact for prospective students and applicants
  • Managing MSTP recruiting weekends
  • Update Program Overview for recruiting weekends

Course and Program Development

  • Assisting the MSTP Leadership Team with program curricula review and program development and developing new programs or tracks, as needed
  • Recommending policy, curriculum, and program changes and revising website accordingly
  • Assessing academic graduate programs guidelines
  • Manage Southeast Medical Scientist Symposium

Records and Maintenance

  • Liaison to the Web Applications Group (WAG)
  • Maintaining application files online
  • Maintaining admissions records
  • Maintaining documentation of recruitment and retention strategies for training grants
  • Ensuring MSTP admissions committee is formed
  • Reviewing IDPs and progress of graduate students and following up on students who are not making good academic progress
  • Coordinating procedures as students approach graduation and following up on students who graduate

Student Financial Support

  • Work with Associate Director-Graduate Education to host grant writing workshop for MSTP students
  • Oversee F30 applications in partnership with the MSTP Director and MSTP Associate Director-Graduate Education
  • Overall responsibility for recommendation letters submitted for individual fellowship applications

 

Other Responsibilities

  • Conducting surveys of applicants as necessary to evaluate recruitment strategies to our program
  • Perform other duties and responsibilities as assigned

 

Minimum Qualifications:
Ph.D. in a Health Sciences or related field. Experience in recruitment of graduate or professional students. Strong organizational and reporting skills, ability to multitask, work with competing priorities and timelines. Strong communication skills and relationship building skills. Ability to understand students at the undergraduate level as well as the needs of the current students and faculty and effectively communicate them to the MSTP Leadership Team. Ability to take initiative and make decisions with in-depth understanding and interpretation of research mission initiatives. Effective writing skills and strong analytical skills. Professional and team-focused attitude and ability. Proficient in the use of MS Office, with the ability to be facile with various computer programs is essential. Attention to detail and ability to present accurate information.

 

Preferred Qualifications:
Previous experience in higher education, PhD in health sciences or related field, experience in communicating feedback about academic programs
