Grants Program Administrator

Reports to: Senior Director

Department: Scientific Review and Grants Administration

Employment Status: Full-time/ Exempt

Job Summary

The Grants Program Administrator supports the Senior Director with grant review, administration, and evaluation. Assists in the development and implementation of the Department’s grants administration process, grant program guidelines and application requirements. Assists with pre- and post-award administration of multidisciplinary portfolio of cancer research grants, including Stand Up To Cancer (SU2C) grants and develops strategies, comprehensive tracking tools and novel approaches for determining and illustrating the impact of research grants and grant programs.

Position Description and Responsibilities

  • Communicates orally and in writing with grant applicants and recipients concerning eligibility issues, policy interpretations, grant matters, or grant management matters.
  • Oversees grant application and post-award reporting process and ensures compliance of applications with policies and procedures as set by the AACR; prepares grantees’ terms and conditions documents and obtains all administrative information necessary to support post-award administration.
  • Arranges and participates in meetings and conference calls and drafts meeting reports and minutes.
  • Performs evaluation of grants programs, including grantee tracking during and after grant term, to share grantee accomplishments and challenges with appropriate audiences.
  • Serves as staff liaison to multiple grant review committees of scientific experts; communicates concerning review and selection processes; convenes review committee meetings and conference calls and drafts meeting reports.
  • Performs scientific review and evaluation of grantee progress reports and financial reports, identifies discrepancies and assesses requirements for further scientific/fiscal review. Refers them to scientific review committees, if appropriate, and approves cyclical grant payments.
  • Prepares scientific reports and analyses for both scholarly and lay audiences.
  • Organizes and attends review visits of the grantees.
  • Ensures compliance with grant terms and conditions and grant management policies.
  • Receives and processes grant change requests such as changes of project aims, grantee institutions, budgets, and personnel.
  • Organizes meetings for the grantees (Annual SU2C Summit, SU2C and/or AACR activities at the AACR Annual Meeting).
  • Works closely with the Communications Department, to publicize successful projects and grantees.
  • Works closely with the AACR Foundation, to maintain relationships with funders.
  • Maintains professional contact with granting agencies to obtain timely information on national cancer funding and available vehicles to relay to staff and leadership.
  • Acts in an advisory capacity for grant pre-award administration and other scientific programs as needed.
  • Participates with staff team in development of Annual Grants Report.
  • Performs other essential tasks and duties required of the position in order to support the Director as needed.
  • Maintains comprehensive Website information.
  • Maintains accurate archival records.
  • Delegates and supervises work of staff assistants, and contributes to their professional development.
  • Performs the essential functions of the position, and other tasks as assigned.

Qualifications

  • 2-5 years professional experience after achieving doctoral degree.
  • Relevant administration and supervisory experience in multi-project environment.
  • Excellent written and verbal communication skills.
  • High motivation with excellent judgment and well-developed analytical abilities.
  • Ability to work well in a team-oriented environment.
  • Ability to interpret and communicate science for scholarly and lay audiences.
  • Experience at NIH or other grant making organizations a plus.
  • Experience with on-line grants management systems (such as proposalCENTRAL).
  • Proficient in MS Office products.
  • Basic knowledge of web content management.

Education Requirements

  • Doctoral degree required in a biomedical field related to cancer research.
  • Postdoctoral cancer research experience required.
